1. Who we are

Kinward (“Kinward”, “we”, “us”) provides a private, subscription-based service that helps individuals plan and follow through on their most important personal relationships. This policy applies to the Kinward website, application, generated reports, dashboard, reminder features, and any related communications.

2. Information you provide to us

Kinward only works because you tell it about your life. We collect the information you choose to share, including:

• Account information — name, email address, and password credentials required to create and secure your account.
• Questionnaire responses — your answers about work, stress, relationships, communication patterns, priorities and preferences.
• Partner information — your partner’s name and details you provide about your relationship with them.
• Children’s information — first names, ages, interests and connection notes for any children you add.
• Extended family and friends — names, contact cadence, and notes for the people you flag as important.
• Milestones and dates — birthdays, anniversaries and other dated events you want to be reminded about.
• Follow-through activity — check-ins, actions marked complete, monthly focuses and notes you record in the dashboard.
• Reminder preferences — channels, quiet hours, timezone and lead-time settings.

You choose what to share. You can leave any field blank; some features may be less useful without the underlying information.

3. Information about people who are not Kinward users

Kinward is designed to help you think about the people closest to you. When you enter information about a partner, child, family member or friend, you are the one processing that information — Kinward acts on your behalf. Only enter information you are comfortable holding responsibility for, and never enter information about a child other than one for whom you are the parent or guardian.

We do not contact the people you mention. We do not sell, publish, share or advertise using their information. If someone you have entered asks us to remove information about them, contact privacy@kinward.online and we will work with you to comply.

4. How we use your information

We use your information to:

• Generate your personal Snapshot, Blueprint and follow-through recommendations.
• Maintain your account so you can return, review past reports and continue where you left off.
• Power the dashboard, check-ins, action tracking and monthly priorities.
• Schedule reminders you have opted into for birthdays, anniversaries, milestones and priorities.
• Provide customer support and respond to requests.
• Operate, secure, and improve the Kinward service.
• Comply with our legal obligations.

We do not sell your personal information. We do not use your relationship data for advertising. We do not use your relationship data to train third-party AI models.

5. AI-generated content

Your Blueprint, Snapshot, dashboard suggestions and follow-through recommendations are generated by artificial intelligence based on the answers you submit. To generate them, the answers you submit are sent to our AI processor(s) over encrypted channels solely to produce your report and are not retained by that processor for training purposes.

6. Reminders and future messaging

Kinward stores the dates and preferences required to deliver reminders about birthdays, anniversaries, milestones and monthly priorities. Reminder messaging channels (such as email, SMS, WhatsApp or push notifications) are opt-in and controlled from your account. You can pause, change channels, adjust quiet hours or delete reminders at any time.

If and when a channel requires a third-party provider to deliver a message (for example, an email or SMS gateway), only the minimum information required to deliver that message will be shared with the provider, under a data-processing agreement.

7. Subscriptions and payments

Kinward offers paid one-time reports and paid subscription tiers. When you make a purchase, payment card details are collected and processed directly by our payment processor and are never stored on Kinward’s own servers. We retain transaction metadata (such as amount, plan, date and status) for accounting, tax and fraud-prevention purposes.

You can view your plan, update your payment method and cancel your subscription from your account at any time.

8. How we protect your information

Kinward runs on encrypted, access-controlled infrastructure. Data is encrypted in transit using TLS and at rest by our hosting and database providers. Access to production systems is restricted to authorised personnel who need it to operate the service. Each user’s data is scoped so that one account cannot read another account’s data.

No online service is perfectly secure. We work to protect your information but cannot guarantee absolute security. Please use a strong, unique password and let us know immediately at security@kinward.online if you believe your account has been compromised.

9. Data retention

We retain your account and reports for as long as your account is active so that you can return and continue where you left off. If you delete your account we will delete your personal data within a reasonable period, except where we are required to retain limited records for legal, tax or fraud-prevention reasons.

You can request export or deletion of your data at any time from your account settings or by contacting privacy@kinward.online.

10. Your rights

Depending on where you live, you may have the right to access, correct, export, delete or restrict the processing of your personal information, and to object to certain uses of it. You can exercise most of these rights directly from your account, and can always contact privacy@kinward.online for help.

If you are in the UK or the European Economic Area, you also have the right to lodge a complaint with your local data-protection authority.

11. Children

Kinward is intended for use by adults planning their own relationships. Kinward is not for use by children. We do not knowingly create accounts for anyone under 18. Information you enter about your own children is stored under your account and controlled by you.

12. Cookies and analytics

We use a small number of strictly necessary cookies and similar technologies to keep you signed in and secure the service. We may use privacy-respecting analytics to understand overall usage patterns. We do not use advertising cookies or cross-site tracking.

13. Changes to this policy

We may update this policy from time to time. When we make material changes we will notify you in-app or by email before the changes take effect. Continued use of Kinward after an update means you accept the revised policy.
